Company

A Company represents an organization that uses an application. It may consist of multiple users and groups, allowing for structured management of user access and data visibility within the boundaries of that organization.

Create a new company

  1. Click the “New company” button
  2. Fill in the required details
  3. Click “Save company”

Create a new demo company

  1. Click the “New company” button
  2. Fill in the required details
  3. Check the box for “Demo company”
  4. Click “Save company”

View company details

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Check the displayed details
  3. Navigate to other tabs for additional details

Deactivate company

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Click the Deactivate

Note: When a company is deactivated, it will be removed from any company group it was a member of

Delete company

  1. In the Company list, hover over the desired company and click the Edit icon
  2. If the company had service activated, click Deactivate button, then Terminate
  3. If the company does not have services activated, click the “Delete” button
  4. Approve as prompted

Note: After selecting “Terminate Company,” the company will remain in the system for 31 days before complete deletion.

Filtering for demo companies only

  1. Click the icon in the Company list to open the Advanced Filter window
  2. In the opened window, uncheck the “Companies” box and ensure only “Demo companies” is selected
  3. Click OK to apply the filter

Filtering companies excluding demo ones

  1. Click the icon in the Company list to open the Advanced Filter window
  2. In the opened window, uncheck the “Demo companies” box and ensure only “Companies” is selected
  3. Click OK to apply the filter

Filtering by company status

  1. Click the icon in the Company list to open the Advanced Filter window
  2. In the Company status dropdown, select the desired status (e.g., Activated, Deactivated, etc.)
  3. (Optional) Adjust the checkboxes for Companies and/or Demo companies as needed
  4. Click OK to apply the filter

Include company in company group

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Navigate to the “Company groups” tab
  3. Click the “Include in company group” tab
  4. Click the “Include in” link to add company to company group
  5. Click the “Save company” to apply changes

Note: When a company is added to a company group, users with company group-based role assignments will inherit access to the new member company.

Exclude company from company group

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Navigate to the “Company groups” tab
  3. Click the “Included in company groups” tab
  4. Click the “Exclude from” to remove company from company group
  5. Click the “Save company” to apply changes

Note: By removing the company from the company group users will lose company group inherited access to that company.

Check company membership

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Click on the Company groups tab
  3. Under Included in company groups, review the list to see which groups the company belongs to.
  4. If needed, use the Search field to locate specific group names.

Activate/Deactivate services

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Click the “Services” tab
  3. Toggle the activation status of specific services by clicking Activate or Deactivate next to each service

Note: When roles are first assigned to a company, the corresponding service(s) are activated automatically.

Check licensed services for a company

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Click on the Services tab
  3. Check the list of all services associated with the company

View service activation and deactivation dates for a company

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Click on the Services tab
  3. Under the Activation date and Deactivation date columns, review when each service was activated or deactivated
  4. You can use the search fields at the top of each column to filter specific dates or ranges

Filter company by service status

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Click on the Services tab
  3. Use the Status dropdown to filter services based on their current state

View company change log

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Navigate to the “Change log” tab
  3. View all changes made to the company

Note: You can filter by one, none or multiple actions: activate service, add to company group, deactivate service, grant role, grant role group, move company, new company, remove from company group, revoke role, revoke role group, status, update company details. If no action is selected, all actions will be displayed by default.

Export company change log

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Click the “Change log” tab
  3. Press the “Export” button

Export the list of active services by company

  1. Navigate to the Company list
  2. Click the Export Company icon in the toolbar
  3. Click the notification that appears in the top-right corner

Check default role group configuration

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Navigate to the “Configuration” tab
  3. Look for the Default role group settings
  4. Verify or modify the default role group configuration if needed

Inform users about role assignment updates for a company

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Navigate to the “Configuration” tab
  3. Tick or untick “Inform users about role assignment updates”

Note: This setting manages whether users receive emails when roles are assigned in the context of the specified company.

Check the tenant ID and the company ID

  1. In the Company list, hover over the desired company and click the Edit icon
  2. Navigate to the “Configuration” tab
  3. Look for the tenant ID and company ID

Archive company

  1. Open the desired company
  2. In the Details tab, click the Archive button
  3. Confirm the action when prompted

Note: What happens when a company is archived:

  • The company status changes from Active to Archived
  • Company data remains available for lookup, export, audits, and similar purposes
  • Archived companies are not intended for regular production use
  • Services can be archived individually for the selected company
  • Archiving services only affects the current company
  • Review user access to archived companies to avoid misuse
  • Contact your Visma partner or Customer Center for pricing information
  • Alternative to archiving: Export the desired data and use the Terminate function to start the deletion process

Unarchive company

  1. Open the desired company
  2. In the Details tab, click either the Activate or Deactivate button
  3. Confirm the action when prompted

Note: What happens when a company is unarchived:

  • A company can be unarchived and its status becomes either Activated or Deactivated
  • The company archived flag is removed
  • All company services marked as archived will automatically be unmarked as archived
  • The company becomes available for regular production use again
  • Review user access and permissions before reactivating/deactivating the company
  • Contact your Visma partner or Customer Center for pricing information

Archive a service

  1. Open the desired company
  2. In the Services tab, click the Archive icon
  3. Confirm the action when prompted

Note: What happens when a service is archived:

  • The service is archived only for the selected company
  • Other services remain unaffected
  • Useful when stopping one service while continuing to use others
  • Review user access for archived services to avoid misuse
  • If you want to stop using a service for all companies, contact Visma to change your entire subscription.

Unarchive a service

  1. Open the desired company
  2. In the Services tab, click the Unarchive icon
  3. Confirm the action when prompted

Note: What happens when a service is unarchived:

  • The archived flag is removed from the selected company service
  • Unarchiving a service only affects the selected service
  • Other services remain unaffected
  • The service becomes available for regular use again for the selected company
  • Review user access and permissions before unarchiving the company service
