# Integration User

Last modified September 14, 2026

> An integration user is a user of an on-premises application that is presented in Admin. By linking an integration user to a user, the on-premises application and Admin recognise them as the same person.

## Open the integration user list

1. Click "On-premises integration" in the menu
2. Click "Integration user" in the panel to the left
3. Review the integration users, grouped by application

**Note:** The "On-premises integration" menu item is only displayed if the customer has an on-premises integration.

## View integration user details

1. In the Integration user list, hover over the desired integration user and click the Edit icon
2. Check the "On-premise identity" details: status, username, external Id, email address and application
3. Check "Linked user" to see which user the integration user is linked to

**Note:** The "On-premise identity" details come from the on-premises application and cannot be changed in Admin.

**Note:** An integration user that belongs to a system user cannot be opened. It is displayed with an information icon instead of the Edit icon.

## Link an integration user to a user

1. In the Integration user list, hover over the desired integration user and click the Edit icon
2. Under "Linked user", click the "Select user" field and start typing a name, or click the arrow to list the users
3. Select the user from the list
4. Click "Save integration user"

**Note:** The status changes to "Awaiting approval" until the selected user accepts the link with the on-premise identity. When the user has accepted, the status changes to "Linked".

## Change the linked user

1. In the Integration user list, hover over the desired integration user and click the Edit icon
2. Under "Linked user", select another user in the "Select user" field
3. Click "Save integration user"

**Note:** The "Save integration user" button stays disabled until you select a user other than the one that is already linked.

## Remove the link to a user

1. In the Integration user list, hover over the desired integration user and click the Edit icon
2. Click the "Remove link" button

**Note:** The "Remove link" button is only displayed when the status is "Linked" or "Awaiting approval". The integration user stays in the list and gets the status "Not linked".

## Remove integration user

1. In the Integration user list, hover over the desired integration user and click the Edit icon
2. Click the "Delete integration user" button at the bottom left
3. Approve as prompted

**Note:** Only the integration user is removed from the list. The user it was linked to keeps the account and the access it has in Admin.

## Search for an integration user

1. Type a name or an email address in the search field above the Integration user list
2. Review the integration users that match
3. Clear the search field to display all integration users again

## Filter integration users by status

1. Open the "All statuses" list above the Integration user list
2. Select "Linked", "Not linked" or "Awaiting approval"
3. Select "All statuses" to remove the filter

**Note:** "Linked" means that the integration user and a user are connected. "Awaiting approval" means that a user has been selected, but has not accepted the link with the on-premise identity yet. "Not linked" means that no user is connected.
