Before you can send invoices from AccountView to Visma.net Approval you need to:
- Purchase both services
- Install AccountView
- Activate Visma.net Approval

## Using the integration
As soon as you have fulfilled the steps above, you are ready to send your invoices to Visma.net Approval from AccountView.
1. Create the invoice in AccountView.
1. Select the user(s) who should approve the invoice.
1. Send it to Visma.net Approval. The approver(s) of the first step receive the task in their task list.
1. The approver(s) make the approval decision.
1. If **approved**: The invoice goes to the next step until all steps of the workflow are completed.
1. If **rejected**: All further steps are skipped and the workflow is immediately completed.
1. Once the workflow is completed, the document is sent back to AccountView.
The approval request can also be **called back** from AccountView. This immediately ends the workflow in Visma.net Approval.

Using Visma Control and Visma.net Approval allows you to approve documents such as vouchers and information about suppliers before further processing. You need to fulfill the prerequisites below before you can send documents for approval.

## Prerequisites
### Step 1: Purchasing, installation, activation and role assignment
Before you can send documents from Visma Control to Visma.net Approval, you need to:
- Purchase both services
- Install Visma Control and the Visma Demand Gateway
- Activate Visma.net Approval
- Assign the correct roles in Visma.net to the users that will use Visma.net Approval
Contact your Visma partner for information regarding purchasing, licensing and activation.
### Step 2: Install the Visma Demand Gateway
Visma.net Approval requires communication with Visma Control. The communication is secured by a gateway
that has to be installed on your side. The gateway will update itself.
You need to have **Customer Administrator** rights in order to install the Visma Demand Gateway.
Refer to the help for Visma Control for more information on setting up your gateway.
### Step 3: Configure your company and users in Visma.net
Create the company, the users and assign the roles in Visma.net.
It is important that you use the correct **organisation number** and **country** when you create the company
in Visma.net. When you start sending documents, Visma Control looks at the organisation number and country to
make sure the documents are sent to the correct company in Visma.net Approval.
Contact your Visma partner for help with setting up your company and users in Visma.net.
### Step 4: Activate the approval functionality in Visma Control
To send documents from Visma Control to Visma.net Approval, you need to tell Visma Control that you want to
start sending documents for approval. You also need to enter the organisation number and country, exactly
as you have entered them in the company you have set up in Visma.net.
Refer to the help for Visma Control for more information on activating the approval functionality.
## Sending documents for approval
As soon as you have fulfilled the steps above, you are ready to send your documents to Visma.net Approval from Visma Control.
1. Create the document in Visma Control.
1. Click to send it to Visma.net Approval.
1. Select the user(s) who should approve the document.
1. Send the document on flow. The approver(s) of the first step receive the task in their task list.
1. The approver(s) make their approval decision.
1. If **approved**: The document proceeds to the next step until all steps of the workflow are completed.
1. If **rejected**: All further steps are skipped and the workflow is immediately completed.
1. Once the workflow is completed, the document is sent back to Visma Control.
The approval request can also be **called back** from Visma Control. This immediately ends the workflow in Visma.net Approval.

## Prerequisites
### Step 1: Purchasing, installation, activation and role assignment
Before you can send documents from Visma Document Center to Visma.net Approval, you need to:
- Purchase both services
- Contact your Visma partner for installation of Visma Document Center and Visma.net Approval
- Activate Visma.net Approval
- Assign the correct roles in Visma.net to the users who will use Visma.net Approval
Contact your Visma partner for information regarding purchasing, licensing and activation.
### Step 2: Install the Visma Demand Gateway
Visma.net Approval requires communication with Visma Document Center. The communication is secured by a gateway
that has to be installed on your side. The gateway will update itself. You need to have **Customer Administrator**
rights and received a license in order to install the Visma Demand Gateway. When ordering the license you have
to provide the email address to the **Customer Administrator**, for license activation.
Refer to the help for Visma Document Center for more information on setting up your gateway.
### Step 3: Configure your company and users in Visma.net
Create the company, the users and assign the roles in Visma.net.
It is important that you use the correct **organisation number** and **country** when you create the company in Visma.net.
When you start sending documents, Visma Document Center looks at the organisation number and country to make sure
the documents are sent to the correct company in Visma.net Approval.
### Step 4: Activate the approval functionality in Visma Document Center
To send documents from Visma Document Center to Visma.net Approval, you need to tell Visma Document Center that you
want to start sending documents for approval. You also need to enter the organisation number and country,
exactly as you have entered them in the company you have set up in Visma.net.
Refer to the help for Visma Document Center for more information on activating the approval functionality.
## Sending documents for approval
> **Note!** There are different possibilities when sending documents for approval depending on the Visma Document Center
version you have installed. Refer to the Visma Document Center help for more information.
As soon as you have fulfilled the steps above, you are ready to send your documents to Visma.net Approval from
Visma Document Center.
1. Import documents into Visma Document Center.
1. Click **Activate workflow**.
1. Select the user(s) who should approve the document. If you select more than one user, you can choose whether all
users should receive the approval request simultaneously, or if the first user in the list should approve before the
second user in the list is asked to approve.
1. Send the document for approval. The approver(s) of the first step receive the task in their task list.
1. The approver(s) make their approval decision.
1. If **approved**: The document proceeds to the next step until all steps of the workflow are completed.
1. If **rejected**: All further steps are skipped and the workflow is immediately completed.
1. Once the workflow is completed, the document is sent back to Visma Document Center.
The approval request can also be **called back** from Visma Document Center. This immediately ends the workflow in
Visma.net Approval.

Using the integration between Visma Document Center, Visma Business, AutoPay and Approval, it is possible to approve documents and payments at once.

This instruction assumes that you have the correct licenses and have a working installation of the services involved.

## Prerequisites
### Step 1: Visma Business and Visma Document Center
To be able to use this integration, you must ensure that you have the following versions:
- Visma Business: version 14.00 or newer
- Visma Document Center: version 14.00 or newer
Additionally, in Visma Document Center you need to set **Send workflows to Visma.net Approval** in the **System settings**.
### Step 2: Role assignment
The following roles are required for users that will pre-approve payments:
- In Visma.net Approval: Invoice Approver
- In Visma.net AutoPay: AutoPay Approver
### Step 3: Two factor authentication (2FA)
Two factor authentication must be set on three levels:
- **For the Company** - In Visma.net Admin, go to Companies - open the company and set **Enable two-step
verification for Visma.net AutoPay**.
- **On the user** - The user needs to go to **My details** from the company selector and ensure
that two-step verification is activated.
- **In the AutoPay agreement**
In Visma.net AutoPay, go to **Administration - Bank agreements** and set the two-step authentication to at least be on approval.
### Step 4: Setup in Visma.net AutoPay
The last step before you can approve the invoice and the payment in one go, you need to enable the functionality in
Visma.net AutoPay. To do so, go to **Administration - Companies** and select **Allow pre-approval**.
## Pre-approving payments
It is possible to pre-approve payment of multiple invoices for multiple companies at once.
1. Send one or more invoices from Visma Document Center to Visma.net Approval.
1. See [Visma Document Center](/approval/getting_started/integrating_with_other_services/visma_document_center/)
for more information about sending invoices.
1. In Visma.net Approval, open the task and click **Approve and pay**.
1. The invoice will disappear from the task list, and is now located in a bundle on top of the task list view.
If the invoice should not be in the bundle and be approved for payment, then click Cancel approval to dissolve the
bundle and show the invoice in the task list again.
1. Click **Pay** when the bundle is complete.
1. Sign the payment in the 2 factor authentication pop-up window.
The System Administrator can find the invoices that have been pre-approved in the **Process overview.**
In the **document data** section of a process, the **Payment approved** displays "yes" if the invoice was approved and paid,
and "no" if the invoice only has been approved but not paid through the two factor authentication.
In this document data section you can also see any warnings related to the payment.
In Visma Business, predefine a separate tab for pre-approved payments, only for the transactions carrying a value in
the **Approval token** column. These should not be exported together with the other payments that are not pre-approved.
When uploading the payment suggestion to Visma.net AutoPay, the unique token is checked and the payment is accepted as
pre-approved with status **Sent to bank**. You do not need to approve as it has been pre-approved.
Click **Show events** on the payment to see the pre-approval information.

Before you can send leave requests and timesheets for approval, you need to purchase both services and assign the
correct roles to the users who will use either or both services.

### Step 2: Decide how approvers should be determined
There are different ways to determine who the responsible approver is for your documents.
- **Always use the same approver(s)**: Use the same approver(s) regardless of the content of the document.
If you choose this option, you can continue directly to **step 5**.
- **Based on cost units**: Enables you to have specific approvers based on the cost units in your company.
- **Based on their role in the organisation chart**: Allows you to find the approvers based on an
organisation chart created in Enterprise HRM or Visma.net Employee Management.
- **Based on the approval rights of the employee**: Allows you to find the approvers based on the rights of
employees as set up in Agda PS.
- **Nearest manager**: Defines the approver based on the direct manager of the employee as specified in for
example Visma Lønn or Huldt og Lillevik.
### Step 3: Set up within Visma.net Calendar
Before you can assign approvers based on the cost units, you need to create cost units within Visma.net Calendar.
These are automatically sent to Visma.net Approval, where you can assign the approvers.
If you wish to assign approvers based on the organisation chart or by the nearest manager of the employee, you must
create the organisation chart or set the nearest manager in your employee management service. The organisation chart
and the list of managers can be viewed from within Visma.net Approval, but any changes must be done in the originating service.
If you want to use the approval rights of the employee from Agda PS, you must set this up in Agda PS.
In Visma.net Approval you can select the specific role per step.
### Step 4: Set up the cost unit combinations within Visma.net Approval
Once the cost units from Visma.net Calendar are synchronized with Visma.net Approval, you can set up the approvers for these.
To do so, go to **Configuration - Cost units**. See [Cost units](/approval/online_help/configuration/cost_units/) for
more information on how to set up the approvers using cost units.
### Step 5: Set up the workflow in Visma.net Approval
The workflow determines if and how an incoming leave requests and timesheets are distributed to approvers and is
composed of one or more steps. All approvers of step one receive the approval request at the same time.
To set up the workflow correctly, follow these steps:
1. Create a new workflow. - See [Set up workflows](/approval/online_help/configuration/workflows/set_up_workflows/) for
more information about setting up the workflow.
1. Define the **steps**.
A workflow may consist of several steps which can have one or more approvers. A step can be skipped under specific
circumstances, for example depending on the number of days.
1. **Simulate** the workflow. The simulator is used to test different scenarios before activating a workflow.
You access the Workflows via **Configuration - Workflows**.
## Sending leave requests and timesheets for approval
As soon as you have fulfilled the steps above, you are ready to send your leave requests and timesheets to
Visma.net Approval from Visma.net Calendar.
Please note that some additional set-up may be required in Visma.net Calendar, depending on the functionality you wish
to use. Please see the online help for Visma.net Calendar for more information.
1. The employee registers the leave request or timesheet in Visma.net Calendar. Leave requests are automatically
sent to Visma.net Approval based on the leave code. Attendances are sent to approval when you confirm the registration
up to a chosen date.
1. Based on the active workflow, the number of steps and the approver(s) per step are determined. The approver(s) of
the first step receive the task in their task list.
1. The approver(s) make their approval decision.
1. If **approved**: The document proceeds to the next step until all steps in the workflow are completed.

The approver can also edit basic information in the claim, if this is enabled by the system administrator.
1. If **rejected**: All further steps are skipped and the workflow is immediately completed.
1. Once the workflow is completed, the document is sent back to Visma.net Expense.
The approval request can also be **cancelled** from Visma.net Expense. This immediately ends the workflow in Visma.net Approval.

- **Finance module**: Purchase invoices
- **Project module**: Time sheets and expense claims
You need to fulfill the prerequisites below before you can start sending documents.

Before you can send documents from Visma.net ERP to Visma.net Approval, you need to purchase both
services and assign the correct roles to the users that will use either or both services.

### Step 2: Decide how approvers should be determined
There are different ways to determine who the responsible approver is for your documents.
- **Always use the same approver(s)**: Use the same approver(s) regardless of the content of the document.

### Step 4: Set up within Visma.net Approval
Once the subaccounts, departments and/ or projects from Visma.net ERP are synchronized with Visma.net Approval, you
can set up the approvers for these.
To do so, go to **Configuration - Cost units** or **Departments** or **Projects**.

Visma.net Approval. For invoices, the approvers are defined within the invoice in Visma Business.

more steps. All approvers of one step receive the document at the same time.
To set up the workflow correctly, follow these steps:

A step can be skipped under specific circumstances, for example depending on the number of days.
1. **Simulate** the workflow. The simulator is used to test different scenarios before activating a workflow.
You access the Workflows via **Configuration - Workflows**.
## Sending documents for approval
> **Note!** There are different possibilities when sending documents for approval depending on the Visma Business
version you have installed. Refer to the Visma Business help for more information.
As soon as you have fulfilled the steps above, you are ready to send your documents to Visma.net Approval from Visma Business.
1. Create the documents in Visma Business.
1. For invoices, define who should approve the document.
1. Send the document for approval. The approver(s) of the first step receive the task in their task list.
1. The approver(s) make their approval decision.
1. If **approved**: The document proceeds to the next step until all steps of the workflow are completed.
1. If **rejected**: All further steps are skipped and the workflow is immediately completed.
1. Once the workflow is completed, the document is sent back to Visma Business.
The approval request can also be **called back** from Visma Business. This immediately ends the workflow in Visma.net Approval.
