Line Edit for ERP
For invoice tasks originating from Visma.net ERP - Financials, you can view and edit invoice lines directly within the mobile app. The line editing interface provides flexibility to customize which fields are displayed and allows you to modify editable fields as needed.
Initial View
When you first open the Voucher lines screen for a Visma.net ERP - Financials task, you’ll see:
- Custom Toggle: Located at the top of the screen, this toggle allows you to switch between the standard view and a customized view.
- Filter Icon: Tap this icon to access field customization options. The filter icon displays as active when custom fields have been selected.
- Line List: All invoice lines associated with the task are displayed. Each line shows the fields that are currently configured to display.
- Attachments Indicator: If the invoice has attachments, a count indicator (e.g., “2 📎”) appears in the top-right corner.
Default Line Fields:
By default, various fields are displayed for each line depending on your Visma.net ERP configuration. These may include account information, amounts, dates, and other transaction details relevant to your accounting workflow.
Fields highlighted in blue are editable. Tap on a blue field to modify its value. Standard fields (displayed in white) are read-only.
Ownership and Permissions
Line editing permissions in Visma.net ERP - Financials are role-based:
User Roles:
- Normal Users: Can edit lines they own. You have full editing access to invoice lines assigned to you.
- Admin Users: Can edit all lines within an invoice task, regardless of who owns them.
Line Ownership:
- Invoice lines can be assigned to specific users for review and approval.
- Your own lines are those assigned to you for handling.
- Other users’ lines are assigned to different approvers.
Editing Restrictions:
- Normal users can only edit lines where they are listed as the owner or responsible party.
- Admin users have unrestricted editing access to all lines within the invoice.
- If you attempt to edit a line you don’t have permission for, you may see a permission error.
If you cannot edit certain lines, check with your administrator about your role and permissions.
Customizing the Invoice Lines View
The Visma.net ERP integration allows you to customize which fields are displayed for each invoice line. This is particularly useful for focusing on specific information relevant to your approval workflow.
Enabling Custom View:
- Toggle Custom Mode On: Locate the Custom toggle at the top of the screen and tap it to enable custom mode. The toggle will slide to the “on” position.
Selecting Custom Fields:
- Tap the Filter Icon: This opens the Select custom fields dialog.
- Choose Fields: You’ll see a list of available fields that can be displayed for invoice lines. The available options depend on your Visma.net ERP configuration and may include fields such as accounts, amounts, departments, and other custom attributes.
- Tap to Select: Tap the checkbox next to each field you want to display. You can select multiple fields.
- Confirm Selection: Tap the Ok button at the bottom of the dialog to apply your custom field selection.
Viewing Custom Fields:
Once you’ve selected your custom fields and closed the dialog:
- The invoice lines will refresh to display only the fields you selected.
- Each line now shows your customized set of fields.
- Blue fields remain editable, while standard fields are read-only.
Empty State:
If you enable custom mode but haven’t selected any fields yet, you’ll see a message:
“It looks like there’s nothing here yet. Tap the configuration button to select your custom fields.”
This prompts you to tap the filter icon and choose which fields to display.
Disabling Custom View:
- To return to the default view, simply toggle Custom mode off. The screen will revert to showing the standard set of fields.
Editing Invoice Line Fields
When viewing invoice lines from Visma.net ERP - Financials, certain fields are editable, allowing you to make corrections or adjustments before approving the task.
Identifying Editable Fields:
- Blue highlighted fields indicate they can be edited.
- Editable fields may include accounts, text descriptions, and other attributes depending on your system configuration.
How to Edit a Field:
- Tap the Blue Field: Tap on any field highlighted in blue to open the editing interface.
- Make Your Changes:
- For account fields, a picker or search interface will appear, allowing you to select from available accounts.
- For text fields, a keyboard will appear for you to type your changes.
- For dropdown or lookup fields, a search interface with selectable options will be presented.
Apply to All Lines:
When editing certain fields, you can apply the same value across multiple lines:
- Make Your Selection: After choosing a value in the field editing interface.
- Apply to All Lines Button: An “Apply to all lines” button appears at the bottom of the screen.
- Confirm Application: Tap the button to apply this value to the same field across all invoice lines in the task.
- Return to List: Use the “Return to list” button to go back to viewing all lines.
The “Apply to all lines” feature is particularly useful for updating dimension values or categories that should be consistent across multiple lines.
Navigate Back and Review:
- Navigate Back: After making your change, navigate back to the line view to see your updated value.
- Review Multiple Lines: If there are multiple lines, scroll down to review and edit each one as needed.
Edited Field Indicators:
When you modify a field, the app provides clear visual feedback:
- An “Edited” badge appears next to the field name, indicating the value has been changed from its original.
- The modified field remains highlighted in blue, showing it’s editable.
Saving and Reverting Changes:
As soon as you edit a field and navigate back to the line view:
- A notification appears showing the number of changes (e.g., “1 line changed”).
- Two action buttons are presented:
- Save: Commits your changes to the line.
- Revert: Discards all changes and restores the original values.
You must tap Save to commit your changes before navigating back to the task detail view. Unsaved changes will be lost.
Validation Errors:
The app validates your changes when you attempt to save:
- If a validation error occurs, a red error banner appears at the top of the screen with a description of the issue.
- The problematic field displays a “Save error” indicator to help you identify which field needs correction.
- You must correct the validation error before you can successfully save your changes.
- Common validation errors might include incompatible account combinations or required dimension values.
Important Considerations:
- Line Numbers: Invoice tasks may display multiple lines (e.g., Line 1, Line 2, Line 3). Each line can be edited independently.
- Individual Line Context: When editing a field, the current line number is displayed in the top-right corner (e.g., “Line 1”, “Line 3”).
- Required Fields: Some fields may be required and cannot be left empty.
- Unsaved Changes: If you navigate away from a line with unsaved changes, you may be prompted to save or discard them.
Use the custom field feature to display only the fields you need to review or edit, making the approval process faster and more focused.
Approving or Rejecting Invoice Lines
After reviewing and editing the invoice lines:
- Save All Changes: Ensure you have tapped Save on any lines you’ve edited. Changes must be saved before leaving the invoice lines view.
- Navigate Back: Return to the main task detail view.
- Take Action: Use the Approve or Reject buttons to take action on the entire task.
Visma.net ERP - Financials invoice tasks do not support line-by-line approval. You approve or reject the entire invoice task, including all its lines.
