View, manage, and action tasks assigned to you through Visma.net Approval
The Approval section of the Visma Manager app allows you to view, manage, and action tasks assigned to you through the Visma.net Approval service. This includes various document types such as invoices, expenses, and timesheets.
### Navigating the Approval Section
- **Task List**: The [Approval List View](/mobilemanager/approval/approval-list/) displays all active tasks requiring your approval. This is the default view.
- **Task Details**: Tap on any task in the list to open the [Approval Detail View](/mobilemanager/approval/approval-details/), where you can see more information and perform actions.
- **Line Editing**: For certain tasks, you can view and edit individual lines. See [Line Viewing and Editing](/mobilemanager/approval/approval-details/line-edit/) for more details.

# Approval List View
The Approval List View displays all active tasks requiring your approval.
The Approval List View displays all approval tasks assigned to you from the Visma.net Approval service. Learn how to browse, search, filter, and take action on tasks in your approval list.
### Header Area
**Tabs:**
- **Tasks**: Displays all active tasks requiring your approval. This is the default view.
- **History**: Shows a record of tasks you have previously completed (e.g., approved, rejected) for reference.
**Filters and Search:**
- Use the **filter icon** to refine the task list. You can filter tasks by task due date or document due date.
- Tap the **magnifying glass icon** to search for specific tasks. You can search by criteria such as supplier name, the user who sent the task, or keywords found in the task reference or description.

### Task List
This is the main area where your approval tasks are displayed. Each item in the list provides a summary of the task.
**Information Displayed per Task:**
- **Supplier** or **Requester**: The name of the vendor, supplier, or internal requester associated with the task.
- **Description and Reference**: A brief description of the task and any relevant reference numbers or text.
- **Company**: The company for which the task is being processed.
- **Status**: The current status of the task (e.g., “Awaiting approval,” “For Review”).
- **Due date**: The date by which the task should be actioned. This is often highlighted (e.g., in red) if the task is overdue.
- **Total amount**: The monetary value of the task, which may be displayed in multiple currencies if applicable.

> The list can display various task types, such as Expense, Voucher, Invoice (from Document Center or Financials), TimeSheet, Absence, Information, and Purchase tasks. Each task type is usually represented by a unique icon for easy visual identification.
**Refreshing the List:**
- You can **pull down** from the top of the task list to refresh its content and load any new or updated tasks assigned to you.

### Interaction Options
**View Task Details:**
- **Tap** on any task in the list to open the [Approval Detail View](/mobilemanager/approval/approval-details/), where you can see more comprehensive information and take specific actions.
**Quick Actions (Swiping):**
- **Swipe right** on a task to reveal **Quick Search**: This allows you to quickly find other related tasks, for example, by the same supplier or person.
- **Swipe left** on a task to reveal quick action buttons. include:
- **Quick Approve**: Instantly approves the task.
- **Quick Review**: If the task is For Review instantly review the task.
**Select Multiple Tasks (Bulk Actions):**
1. **Initiate multi-select mode** by either:
- Tapping the **green circle** next to a task.
- Performing a **long-press** on a task.
2. Once in multi-select mode, you can tap additional tasks to add them to your selection.
3. An option to **"Select all"** may also appear, allowing you to select all visible tasks in the list.
4. After selecting the desired tasks, tap the **"Approve"** button.

> A warning message will be displayed if your selection includes multi-line tasks. These tasks might require individual review in the detail view before approval, as approving them in bulk might overlook important line-item details.
**Navigation Header Interaction:**
- Tap the currently active tab header (**Approval** or **History**) again to instantly scroll to the top of the list. This is useful for quickly returning to the beginning of a long list of tasks.

# Approval Detail View
The Approval Detail View displays information on a specific task requiring your approval.
The detail view in the Approval App provides access to all relevant information and actions related to an individual task selected from the approval list. Find out how to open individual tasks, view documents, take action, and inspect workflow and task history.
### Header Area
At the top of the screen, you'll find key identifying information for the task:
- **Supplier Name** or **Requestor Name**: Identifies who is associated with the task.
- **Company**: The company context for which you are approving.
- **Amount**: The monetary value associated with the task (e.g., for an invoice or expense).
- **Description**: A brief description of the task.
### Body Area
This section displays the core content and related information for the approval task.
**Document Preview & Viewer:**
- If an attachment (e.g., an invoice PDF) is available, a thumbnail preview will be shown.
- **Tap the thumbnail** to open the full document in the document viewer.
- **Document Viewer Interactions:**
- Use two fingers to **zoom in and out** of the document.
- If there are multiple attachments, you can **switch between them** using the folder icon.
- Attachments can often be **saved as PDF** by tapping a download icon.
- Tasks allow **quick approval** directly from the document view.
- Swipe **up or down** to navigate between pages in a multi-page document.
**Line Editing:**
- For invoice tasks that support it, you can view and/or edit individual lines.
- Tap the **Voucher lines** button to access line details.

**Workflow History:**
- Displays the lifecycle of the task, including when it was activated.
- Shows both task due dates and document due dates.
- Lists each approval step:
- The current step.
- Future and completed steps are shown in order.
- Includes the name of the approver and any comments for each step.
**Workflow Details:**
- Shows the configured workflow for the task based on the setup in Visma.net Approval.
**Additional Info:**
- If the task relates to an Employee (e.g., an expense claim), an icon or link is present (in the top right) to navigate directly to the **employee details** associated with the task.
### Interaction Options
Several actions can be performed on the task from this detail view:
- **Approve:** Finalize and approve the document/task.

> If the task contains multiple lines, approving the task will attempt to approve all lines. A task cannot be approved if any of its lines are rejected.
- **Reject:** Reject the document/task.
- **Send for Review:** Assign the task to another user for their review. You might use this if you need a second opinion before approving.
- **Forward:** Reassign the task to another approver for handling.

### Line Editing Capabilities by Origin System
The table below outlines the line viewing, editing, and approval functionalities available for different document types based on their origin system:

### Interaction Options
When line editing is available for a task:
- **Accessing Lines**:
- Tap the **Voucher lines** button within the task details to view the lines.
- **Viewing Lines**:
- For **Document Center** tasks:
- Your own lines are shown by default.
- A toggle to view lines assigned to other users.
- A clear indicator shows if any line has been approved or rejected.
- **Editing Lines (Visma.net ERP - Financials)**:
- **Normal users** can edit lines they own.
- **Admin users** can edit all lines.
- Tap on the edit button to modify its details. Editable fields may vary.
- **Editing Lines (Vism,a Business NXT)**:
- Feilds highlighted in blue are editable.
- **Approving Individual Lines (Document Center)**:
- If line approval is enabled, you can approve or reject individual lines.
- A task can typically only be fully approved if all its lines requiring your approval are approved.
