About Template Management
Report and budget templates are managed in the same way from the OneStop Reporting portal. The workflow is the same regardless of type: you create or duplicate a template, edit it in Report Designer, and publish it so that others can use it. The difference is which module you work in – Reporting for report templates and Budgeting for budget templates.
Most actions are initiated from the button with the three dots (…), either next to the template in the list or at the top of the template card.
Budget templates can additionally be included in a workflow, which affects editing. This is specific to budgeting and is briefly mentioned under Editing a Template.
Creating a New Template
How to create a template from scratch:
- Click on Reporting or Budgeting.
- Click on the button with the three dots (…).
- Select New. The dialog box for a new template appears.
- Select a company. The data from this company will be used in the template.
- Enter a logical name in the name field, making the template easy to find.
- Click on Create. The template is added to the list with the status Draft.
For budget templates, you then select the template in the list and click Edit to open it in Report Designer.
If you have selected one or more categories when creating the template, the new template is automatically added to the selected categories.
Editing a Template
After the template is created, you edit the content before publishing and sharing it. How to do it:
- Click on Reporting or Budgeting.
- Select the template in the list.
- Click on the three dots (…) behind the template or at the top of the template card.
- Click on Edit. The template opens in Report Designer.
- Edit, save, and close the template. (For budget templates, click Publish to publish the changes.)
If you have selected more than one template (or a package), the Edit button is not available.
The first time you edit a template, the OneStop Reporting Excel add-in is installed.
Budget Templates in a Workflow
If a budget template is part of a workflow, you will receive a message about this when editing. If you choose to edit, associated assignments and workflows are updated, and this may affect the budgeting process. You can edit most parts of the template, but not the report parameters – if you change them, you cannot publish and must undo the editing (via the three-dots menu → Undo edit).
When you have changed a budget template in a workflow, recipients must run their templates again. If the template is open on their end, they will lose any unsaved changes.
Making a Copy of a Template
Duplicating a template is useful when you want to use an existing template as a starting point, or make a backup before editing. It is also the solution when a template cannot be edited directly – for example, standard templates or templates at a higher level than your access level.
- Go to Reporting or Budgeting.
- Select the template, and click on the three dots (…).
- Select Duplicate. A dialog box appears.
- Enter a new name for the template.
- Click on Duplicate. The copy is added to the list with the same status (draft or published) as the original.
You can now select Edit on the duplicated template.
If you have selected one or more categories when duplicating, the copy is automatically added to the selected categories.
Renaming
- Click on the three dots (…) behind the template or at the top of the template card.
- Click on Rename.
- Enter the new name in the dialog box and click on Change.
Publishing a Template
A template with the status Draft must be published to become “official” and available to others. How to do it:
- Select a template with the status Draft, or open it.
- Click on the three dots (…) behind the template or at the top of the template card.
- Select Publish from the drop-down menu.
The template is now official. A published report template becomes available to others when you categorize or share it, while a published budget template can be assigned to other users.
Converting from Visma Business to Business NXT
You can convert both report and budget templates from the Visma Business integration to Business NXT (or Business NXT Group Reporting):
- Stand in the client that has the Visma Business integration.
- Go to the Reporting or Budgeting module.
- Highlight one or more templates you want to convert.
- Click on the three dots (…) and select Convert to Business NXT (or Business NXT Group Reporting).
- The templates are downloaded to your downloads folder.
- Go to the client that has the Business NXT integration, and open the Reporting or Budgeting module.
- Click on Upload, and select the downloaded templates. The templates are now converted.
