# Create and edit report- and budget templates

## Manage report and budget templates

You can create, edit, duplicate, publish, and convert templates in the OneStop Reporting portal. The workflow is the same whether you work with report templates in **Reporting** or budget templates in **Budgeting**.

> Most actions are initiated by clicking the button with three dots (…) next to the template in the list or at the top of the template card.

## Create a new template

When you create a new template, you build it from scratch using data from a selected company.

1. Click on **Reporting** or **Budgeting**.
2. Click on the button with the three dots **(...)**.
3. Select **New**. The dialog box for new template appears.
4. Select a **company**. The data from this company will be used in the template.
5. Enter a logical **name** in the name field so the template is easy to find.
6. Click **Create**.
7. The report opens automatically in Report Designer, and the template is added to the list with the status **Draft**.

> [!NOTE]
> If you have selected one or more categories when creating the template, the new template is automatically added to the selected categories.

## Edit a template

After the template is created, you edit the content before publishing and sharing it. Here is how to do it:

1. Click on **Reporting** or **Budgeting**.
2. Select the template in the list.
3. Click on the three dots **(...)** next to the template or at the top of the template card.
4. Click **Edit**. The template opens in Report Designer.
5. Edit, save, and close the template.
6. Click **Publish** to publish the changes.

> [!NOTE]
> If you have selected more than one template (or a package), the **Edit** button is not available.  
> The first time you edit a template, the OneStop Reporting add-in in Excel will be installed.

### Budget templates in a workflow

If a budget template is part of a workflow, you will receive a notification about this when editing. If you choose to edit, associated assignments and workflows will be updated, which may affect the budgeting process. You can edit most parts of the template, but not the report parameters. If you change the report parameters, you cannot publish and must undo the editing via … > **Undo editing**.

> [!NOTE]
> Once you have modified a budget template in a workflow, recipients must re-run their templates. If the template is open for the recipients, they will lose any unsaved changes.

## Make a copy of a template

You can duplicate a template when you want to use an existing template as a starting point or take a backup before editing. This also applies when a template cannot be edited directly, for example standard templates.

1. Go to **Reporting** or **Budgeting**.
2. Select the template and click on the three dots **(...)**.
3. Select **Duplicate**. A dialog box appears.
4. Enter a new name for the template.
5. Click **Duplicate**. The copy is added to the list with the same status (draft or published) as the original.

You can now select **Edit** on the duplicated template.

> [!NOTE]
> If you have selected one or more categories when duplicating, the copy is automatically added to the selected categories.

## Rename

1. Click on the three dots **(...)** next to the template or at the top of the template card.
2. Click **Rename**.
3. Enter the new name in the dialog box and click **Change**.

## Publish a template

A template with the status **Draft** must be published to become "official" and available to others. Here is how to do it:

1. Select a template with the status **Draft**, or open it.
2. Click on the three dots **(...)** next to the template or at the top of the template card.
3. Select **Publish** from the drop-down menu.

The template is now official. A published report template becomes available to others when you **categorize** or **share** it, while a published budget template can be **assigned** to other users.

## Convert from Visma Business to Business NXT

You can convert both report and budget templates from the Visma Business integration to Business NXT (or Business NXT Group Reporting):

1. Go to the client that has the **Visma Business** integration.
2. Go to the **Reporting** or **Budgeting** module.
3. Select one or more templates you want to convert.
4. Click on the three dots **(...)** and select **Convert to** Business NXT (or Business NXT Group Reporting).
5. The templates will be downloaded to your downloads folder.
6. Go to the client that has the **Business NXT** integration, and open the **Reporting** or **Budgeting** module.
7. Click **Upload**, and select the downloaded templates. The templates are now converted.
