Add comment sheet

Commentary Sheets

It is possible to add commentary sheets to reports and report packages. Commentary sheets allow you to enrich reports with explanations and notes, providing valuable context to the numbers. You can add commentary sheets to generated reports by clicking the plus sign (bottom left) to add a new tab, or by navigating via the three dots in the top right corner and selecting commentary. Here you are presented with four options, which we describe below.

How to add a commentary sheet

  1. Open the generated report.
  2. Click + in the bottom left corner (behind the last sheet of the report) to add a new tab, or click the menu button with three dots in the top right corner and select Commentary.
  3. Choose one of the following options:
  • Add a blank commentary sheet A blank sheet where you can enter your own text and Excel formulas.
  • Add commentary template Upload an Excel file from your local file explorer. You can make manual changes after uploading.
  • Fill out commentary template with AI Upload an Excel file where AI replaces placeholders with values from the report.
  • Generate commentary sheet with AI AI analyzes the report and creates a fully structured commentary sheet.

Add a blank commentary sheet

A blank sheet where you provide your own input. Here you can enter text and utilize Excel formulas. Among other things, you can create sums, lookups, or use an indirect formula to reference values located in other sheets within the report.

Add commentary template

An optional Excel file uploaded from your local file explorer and attached to the reports. You can also provide manual input and make other changes after it has been uploaded.

Fill out commentary template with AI

An Excel file you upload where AI replaces generic placeholders, [ ], with values from the report. This allows the business to retain its standard format in both text and layout. The template is set up with a combination of text and placeholders, where the placeholders are inserted into the text where the value should be retrieved from the report. AI will replace the placeholders, [ ], with information from your report, while the rest of the text and formatting in the cell remain unchanged.

How placeholders work

Syntax / typeExampleWhat AI does
Empty placeholder []Depreciation for the period amounts to NOK [].AI understands the context from the surrounding text and retrieves or calculates the correct amount/text.
Named placeholder [[name]]To: [[Company Name]]The name of the placeholder tells AI specifically which information or period to fill in. The language used in the placeholder does not need to be English.
Named placeholder [[name]]So far in [[This Year]]…The name of the placeholder tells AI specifically which information or period to fill in.
Named placeholder [[name]][["negativ" or "positiv"]]If AI needs to choose between two words like “positiv” or “negativ”, or must be used.
Instruction [[AI: instruction]][[AI: oppsummer de tre største kostnadsavvikene mot budsjett]]AI follows the given instruction and generates a customized summary or explanation.

Guidelines for placeholders

  • Only the placeholder is replaced: Surrounding text and characters are not affected. Example: NOK [] becomes NOK 125,000.
  • Combining: You can have multiple placeholders in the same cell. Example: "This results in a [["decrease" or "increase"]] in revenue of NOK [] compared to last year."
  • Missing data: If the report does not contain data for a placeholder, the field remains empty and is highlighted in red. AI never guesses values.
  • Source fidelity: AI uses only actual numbers and details from the report. Numbers, periods, or departments are never made up.
  • Formatting and language: Language and number formats automatically adapt to your language settings (thousands separators, whole numbers for amounts, and one decimal place for percentages). For specific formatting preferences, you can specify this in an instruction placeholder.
  • Concise answers: By default, AI generates concise answers (usually 1–3 sentences per cell). Request more detailed responses in the prompt if needed (for example [[AI: Provide a detailed explanation of...]]).
  • Exceptions (ignored): Placeholders will not be replaced if they are located in hidden sheets, cells with Excel formulas, or merged cells (only the top-left cell is processed).
  • Invalid syntax: Note that other formats such as {{placeholder}} or single brackets [placeholder] are not recognized.

Generating commentary sheets with AI

AI analyzes the findings in your report and generates a fully structured commentary sheet. The commentary sheet presents standard sections upon every run, where the content of each section is determined by the report’s content. The sections:

  • Summary
  • Key findings
  • Trends and developments
  • Variances and special items
  • Specific recommendations for further follow-up

Practical tips

  • Placement: You can move and position commentary sheets freely among the other sheets in the report.
  • Visibility: Commentary sheets are only visible to the user who created them and are available for the same set of parameters to which they were saved. If the report template has a draft, the comments become visible only after the template is published.
  • Sharing: To share commentary sheets with others, the report must be sent to the archive.
  • Deletion: Right-click the commentary tab, select Delete, and then click Save comments.

Note: When you click Save comments, the commentary sheet becomes static. Values and comments will not update automatically if the report is refreshed with new data after a new run.
